The Australian Library and Information Association Ltd (ALIA) is the professional association for the Australian library and information services industry. It seeks to empower the profession in the development, promotion and delivery of quality library and information services to the nation, through leadership, advocacy and mutual support.

Request for Tender

ALIA is seeking quotations/tenders for the provision of a 'Membership Services System' to improve services to their member base and increase membership recruitment and retention.

This system must provide membership, subscription, events and professional development services and an e-commerce facility in an online environment. This system must also be available to executive and administrative staff at the national office in Canberra, remote staff, office-bearers, general members and others. ALIA has an existing (online) membership system, and any replacement must provide all of the functions of the current system, as well as other functions detailed below.

Any upgraded Membership Services System must:

  • record membership details for individuals and administrators;
  • provide online inquiry and maintenance;
  • process billing for membership, subscriptions, products and events;
  • provide mailing functions for subscriptions, and other products;
  • process financial transactions for members, event delegates and non-members;
  • provide an electronic interface to in-house financial system (MYOB);
  • provide stock control and online stock sales to all users;
  • provide office-bearer information pertaining to groups and committees;
  • offer a reporting facility with fixed and ad hoc reports for administrative users on all aspects of membership; and
  • provide functions for the organisation and tracking of attendance, sponsorship, exhibitions, etc at events and conferences.
  • Be a 'Customer Relationship Management' system.

Quotations/Tenders are sought from organisations that are able to provide the specific functionality and services with their product to meet ALIA's requirements.

Submissions must be sealed and clearly marked with the Tenderer's contact name and address, and additionally must clearly state the title of the tender as follows:

The deadline for lodgement of tenders is first mail 24th August, 2007. It is the Tenderer's responsibility to ensure that a tender is lodged before the closing time. Tenders lodged after the stipulated closing time may be deemed late and may not be accepted.
